The Academic Secretary works with the director's office for the management of human, material and financial resources to meet the Institute's function, requirements and objectives. These functions are researching, training, teaching, communicating and connecting with people and organizations internally and externally. Management activities include planning, organization, and policy regulation assessment.
The Academic Secretary is an academic-administrative officer appointed by the University's rector based on a proposal made by the Institute's director and preferably selected from the Institute's academic professionals. The Secretary may represent or substitute the director before the Technical Board of Scientific Research without the right to vote.

This Secretary pays special attention to training and growth for academic staff members. It fosters training for future professionals and highly skilled engineers through the Scholarship Program of the Engineering Institute (PBII). It also arranges sabbatical periods, promotions, permits, overseas scholarships, and academic exchanges.

According to the Internal Code of the Institute, the Academic Secretary monitors the skills and academic competencies of researchers and academic technicians in order to give accurate reports before the Internal Council on incentives and their corresponding remunerations.

The Academic Secretary, through the Information Services Unit, supports the academic staff when looking for documented information through manual and automated query services, acquisition of national and foreign documents, interlibrary lending, book acquisition, subscription to magazines and guidance on the use of databases to find bibliographic information.
